Q.01 What is LMT Assistant?

LMT Assistant is a practice management app built specifically for Licensed Massage Therapists. It helps you manage clients, schedule appointments, run SOAP notes, track expenses and income, log mileage, store credentials, accept online bookings, and invoice clients. All in one secure, HIPAA-conscious platform.

What LMT Assistant is not. It is not a marketplace, and we do not bring clients to you. Your booking page is a tool you share with people who already know you. We also do not process payments. When a client pays you via your own Venmo, Cash App, Zelle, Stripe, Apple Pay, or anything else, the money goes directly between you and them. LMT Assistant never touches the transaction.

Q.02 Is LMT Assistant available on iOS and Android?

Yes. LMT Assistant is available on both iOS (iPhone and iPad) and Android devices. Download it from the App Store or Google Play.

Q.03 How much does LMT Assistant cost?

Every new account starts with a free 7-day trial. After that, choose $9.99 / month or $79.99 / year (a 33% saving, roughly $6.67 / month). The subscription is tax-deductible and auto-logs as a business expense. Subscriptions are managed through the Apple App Store or Google Play and can be cancelled at any time from your device's subscription settings.

Q.04 Does the app support languages other than English?

Yes. LMT Assistant fully supports English and Spanish. Switch languages at any time from Settings. All screens, labels, and notifications are translated.

Online booking.
Q.05 How does online booking work?

Every account gets a branded, shareable booking link. Share it anywhere: text, email, Instagram bio, QR code. Your clients pick a service, choose studio or mobile, see any travel fee upfront, sign consent, and submit intake notes. The booking arrives in your app as a pending request for you to approve.

Q.06 What happens when I approve a booking?

One tap. The booking is added to your calendar, a SOAP-ready client record is created (or matched to an existing one), and an automatic SMS confirmation is sent to the client's phone number. You stay in control: you can decline requests, reschedule, or cancel.

Q.07 Can clients choose between studio and mobile visits?

Yes. You configure whether you offer studio, mobile, or both. If you offer mobile, clients provide their address and see any travel fee you've set before confirming. Travel fees are disclosed on the booking page, not charged through it. You collect payment through your preferred method.

Q.08 Is the booking form HIPAA-conscious?

Yes. Intake notes and any other PHI the client submits are encrypted before they ever touch our database, using your per-user encryption key. The booking link itself is served over HTTPS and routed through a secured edge function.

Privacy & security.
Q.09 Is my client data secure?

Absolutely. We take security seriously:

  • All sensitive client information (PHI) is encrypted using AES-256-CBC
  • Each user has unique, per-user encryption keys derived from secure random salts
  • Data is encrypted both in transit (HTTPS) and at rest (AES-256)
  • Row-level security policies ensure you can only access your own records
  • Automatic session timeout after 15 minutes of inactivity
  • Optional biometric authentication (Face ID / Touch ID)
  • We never share or sell your data
Q.10 Is LMT Assistant HIPAA compliant?

LMT Assistant is designed with HIPAA compliance in mind. We implement technical safeguards including AES-256 encryption of all PHI, per-user encryption keys, row-level security, audit logging, automatic session timeouts, and encrypted backups. HIPAA compliance is a shared responsibility: you should also follow best practices like using strong passwords and keeping your device secure.

Q.11 Can I export or delete my data?

Yes. You have full control over your data. You can export an encrypted backup from Settings at any time. Backups are protected with AES-256 and can be restored on any device. If you choose to delete your account, all your data is permanently removed from our servers.

AI document scanning.
Q.12 How does AI document scanning work?

LMT Assistant uses OpenAI's vision model to extract structured data from photos and PDFs of your documents. When you scan a receipt, credential, 1099 form, insurance document, or booking screenshot, the file is transmitted securely through our hardened edge function, processed for text extraction, and returned as pre-filled form data you can review and save. Scanning is always optional. You can enter information manually instead.

Q.13 What types of documents can I scan?

You can scan several types of documents (images and PDFs):

  • Receipts: Business expense receipts. Extracts merchant, amount, date, and category
  • Credentials: Massage licenses, insurance certificates, CE certificates, and transcripts. Extracts names, numbers, dates, and issuing organizations
  • 1099 Forms: Tax documents. Extracts payer info, amounts, and tax year
  • Insurance Documents: Insurance policies and cards. Extracts policy details
  • Booking Screenshots: Screenshots from third-party booking platforms. Extracts client name, date, time, and location for mileage logging
Q.14 Is my scanned data stored by the AI service?

No. Images and PDFs are transmitted over HTTPS and processed solely for text extraction. They are not stored by OpenAI beyond the processing request. Once the text is extracted, any PHI fields (like client names or addresses) are encrypted with AES-256 before being stored in our database. Full details are in our Privacy Policy.

Q.15 How do I create SOAP notes?

From a client's profile, tap "Add SOAP Note" to create a new session note. You can document Subjective observations, Objective findings, Assessment, and Plan. SOAP notes are automatically linked to the client and appointment for easy reference. All SOAP note content is encrypted.

Q.16 Can I track mileage for mobile massage?

Yes. The mileage tracker uses Google Maps to calculate distances between locations. Enter addresses manually, select saved locations, or scan a booking screenshot to auto-fill trip details. In-studio visits also log mileage automatically when you enable it. Save your home address and frequent client locations for one-tap logging. All mileage is categorised and summarised for tax reporting.

Q.17 How do invoices work?

Create professional invoices by selecting a client, adding services or line items, and setting payment terms. Preview invoices as PDFs, share via email or text, and track payment status. Add your payment handles (Venmo, Zelle, Cash App, PayPal) to display on invoices for easy client payments.

Q.18 What is the Credentials Vault?

The Credentials Vault stores all your professional documents in one place: massage licenses, insurance policies, CE certificates, and school transcripts. Scan documents with AI to auto-fill details, attach photos or PDFs, and set expiration dates. The app sends push notification reminders before your credentials expire so you never miss a renewal.

Q.19 What push notifications does the app send?

Three things: upcoming appointment reminders, incoming online booking requests, and credential expiration alerts. You can fine-tune which notifications you receive in Settings.

Q.20 Can I scan receipts and PDFs for expenses?

Yes. Use your camera to scan paper receipts, upload a photo from your library, or upload a PDF directly. The AI extracts merchant, amount, date, category, and individual line items. You can also batch-scan multiple receipts at once. Paperless expense tracking, minimal data entry.

Q.21 Does the app work offline?

Yes. LMT Assistant works offline for most features. Changes you make while offline are encrypted and queued, then automatically synced when your internet connection is restored. Offline data expires after 30 days for security.

Q.22 How do I reset my password?

On the login screen, tap "Forgot Password" and enter your email address. You'll receive a link to reset your password. For security, the link expires after a short period and can only be used once.

Q.23 How do I manage my subscription?

Subscriptions are managed through your device's app store. On iOS, go to Settings → Apple ID → Subscriptions. On Android, go to Google Play Store → Payments & subscriptions. You can upgrade, downgrade, or cancel at any time. Refunds are handled by Apple or Google according to their respective policies.

Q.24 How do I contact support?

Email admin@suite-327.com. We typically respond within 24 to 48 hours. You can also use the "Contact Support" option in the app's Settings menu.

Q.25 Can I suggest new features?

Yes, please do. Use "Request a Feature" in Settings, or email admin@suite-327.com. Many of the best features in the app came from therapist suggestions.
